Contacts and companies

Add people and firms, open their cards, log notes and tasks, and keep every detail in one place.

Contacts and Companies are your book of business: every person and every firm, each with a card that remembers everything that ever happened with them. Once your people are in here, every other module (texts, emails, bookings, invoices, raises) attaches its work to these same cards. That's the whole trick: one record, one history.

1Add your first contact

  1. Open Contacts in the left menu.
  2. Press New contact. Name and email or phone are enough to start. Everything else can come later.
  3. Pick a relationship. Every contact carries a standard relationship: Investor, Broker, Vendor, Partner, Financial Institution, Property Manager, Attorney, General Contractor, CPA, IRA Expert, or Other. It's a real field, not a tag, and dashboards and automations use it. If you're not sure, Other is fine.
  4. Press the new row to open their card.
Have a whole spreadsheet of people? Don't type them one by one. The Tables, lists, and imports guide shows the importer, which handles Excel, CSV, and a one-click HubSpot migration.

2Read a contact card

Press any contact and their card slides open. It's built around tabs, with the essentials up top.

Overview
The key fields, editable in place. Click a value, type, click away. It saves itself. The long tail (address, custom fields) sits in sections below.
Activity
The full timeline: calls, meetings, emails, notes, stage changes, texts, everything, newest first. This is the answer to "what's the story with this person".
Notes
Free-form notes. Type @ and a teammate's name to mention them. They get notified by email and in the app.
Tasks
To-dos tied to this person, with due dates and owners.
Deals, Investments, Texts
Everything from other modules that involves this person, one tab each.

3Companies, and how people connect to them

  1. Open Companies in the left menu. Companies get the same style of card as people, with their staff listed on it.
  2. Let the domain do the linking. A contact whose email is sarah@linholdings.com matches the company with that domain automatically.
  3. Press Enrich on a company card. Live web research finds the firm's real website, industry, headquarters, leadership, and a description, each with the source it was read from and a checkbox before anything saves. If a fact can't be verified, the field stays blank on purpose. No guesses.
You can filter the Companies table by facts about their people. "Companies where a contact is tagged Alpha Maven" is a normal filter here, not an export project.

4Connect people to each other

  1. Open a contact card and find Relationships. Add links like reports to, referred by, and works with.
  2. Use them to remember how you know people. Who introduced whom is the kind of thing you forget in a year. The graph doesn't.

5Hand a relationship to a teammate

When a relationship changes hands, a silent owner swap loses the context and often the follow-up. A handoff keeps both.

  1. Change the owner and add a handoff note. Say who the person is, where things stand, and when the first touch should happen.
  2. The receiver accepts. They see the note and the expected date, and the handoff shows on both of your plates until it's done.
  3. The system watches the follow-through. It stamps the first real touch (an email, a call, a meeting) when it actually happens. Miss the agreed date and the receiver is nudged while you're told; a week-old unanswered handoff expires loudly instead of quietly.
Every record shows its chain of custody: who has owned it, when, and how fast each first touch came. Owner changes from any screen become timeline events, and automations can fire on them.

6Good to know

The relationship funnel
For investors, mechanical stages like contacted, replied, and meeting scheduled move themselves based on real tracked activity. Judgment stages like interested and committed stay yours to set. The funnel keeps itself honest.
Departed people
Mark someone as departed when they leave a firm. They're blocked from sends and can never be quietly resurrected by a re-import. Got a pile of "no longer with the company" auto-replies? Paste them into the leaver scan and AI marks the departures and spots the successors for you.
Protected records
A contact who's tied to money or investments can't be deleted. That's a guardrail, not a bug.
